Privacy Policy

DRAFT: this document has been prepared as a working draft and has not been reviewed by a lawyer. It must not be published or relied on until that review is complete.

Last updated: TBC. This policy applies to noticesports.com.au and to the recruitment services provided by Notice People.

Who we are

Notice People is the recruitment business operated by [legal entity name TBC] (ABN TBC), based in Sydney, New South Wales. In this policy, "we", "us" and "our" mean that entity. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What we collect

Through this website we collect only what you type into a form: your name, email address, phone number where you provide it, the organisation you represent where relevant, and the message you write. We also collect standard technical information about your visit, described under Analytics below.

What this website does not collect

This website accepts no file uploads of any kind. There is no resume upload, no cover letter upload and no document storage on it. No route on this site accepts a file, and we hold no candidate documents on our own infrastructure. This is a deliberate design decision, not an omission.

Registering as a candidate

Candidate registration is handled by JobAdder, the recruitment system we use. When you register your interest with us, your details are entered into JobAdder rather than stored on this website. The personal information you enter there, including your CV, cover letter and any other file you attach, is collected and stored by JobAdder on our behalf, in its Australian data centres. It does not pass through this website. JobAdder Operations Pty Ltd is an Australian company and its handling of that information is governed by its own privacy policy in addition to our obligations as its customer.

Why we collect it

We collect personal information so that we can respond to your enquiry, assess your suitability for roles we are recruiting for, introduce you to prospective employers with your permission, provide recruitment services to our clients, and keep records of what we agreed with whom. If you tell us you no longer wish to hear from us, we will stop.

What we do with candidate information

We do not send your details, your CV or your name to a prospective employer without asking you first, for each role, every time. We do not sell personal information. We do not use candidate information for advertising.

Who we disclose information to

We disclose personal information to: prospective employers, but only with your consent and only for the role discussed; JobAdder, which stores candidate records for us; our email provider, which delivers enquiry notifications to our inbox; our hosting and database providers, which run this website; and to anyone else where you have asked us to, or where we are required to by law.

Overseas disclosure

Our website hosting and database are located in Australia, and JobAdder stores candidate data in Australia. Some of the service providers we use, including our email delivery provider and our analytics provider, may process limited information overseas, including in the United States. Where that happens, we take reasonable steps to ensure the recipient handles the information consistently with the APPs.

Notice News and Substack

Notice, our newsletter, is published on Substack at noticesports.com.au. If you subscribe, your email address is collected and held by Substack Inc. under its own privacy policy and terms, not under this one. Subscribing to the newsletter is separate from registering as a candidate, and neither list is used for the other purpose.

Cookies and analytics

This website uses no advertising cookies and runs no advertising trackers. If product analytics are enabled, we use them only to understand which pages are read and which links out to JobAdder and Substack are used, so that we can improve the site. Analytics are configured not to collect information that identifies you personally. You can block cookies in your browser and the site will continue to work.

Security

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including keeping candidate records inside JobAdder rather than in general-purpose storage, restricting access to the people who need it, and using encrypted connections throughout. No system is perfectly secure, and we will tell you if an eligible data breach affects your information, as the Notifiable Data Breaches scheme requires.

How long we keep it

We keep candidate records for as long as they are useful for the purpose you gave them to us for, and then we delete them. Ask us to remove your record earlier and we will, subject to any record-keeping obligation the law places on us.

Access, correction and complaints

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing hello@noticesports.com.au. We will respond within a reasonable period and will not charge you for making the request. If you are unhappy with how we have handled your information, tell us first and we will try to resolve it. If you are still unhappy, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy. The current version is always the one on this page, with the date it was last updated at the top.
